Costs

As stated on the Bookings page, the costs involved are as follows:

Base fee of £60 + £1.50 per pupil + travel costs

Artefacts in Action does not ask for a deposit, and you do not have to pay in advance. An invoice will be sent out a few weeks before the booking. The school is always welcome to pay in advance by BACS if it chooses to, but I simply ask for payment on or before the day of the visit.

The school is expected to provide:

  • A room large enough – such as the school hall – to hold the number of pupils you require. Ideally they would be able to sit on the floor.

  • Access to a computer (to present from PowerPoint) and a projector

  • You will be sent a worksheet to print off in advance, ideally one A4 sheet per child

  • A pen or pencil for each child to write with

  • Adult helpers – I would recommend 1 for every 20 pupils

  • Depending on your location, I may require a parking space.

Cancellations

By Artefacts in Action

Once a booking is made, Artefacts in Action is committed to visiting the school. Every effort will be made to arrive at the school as scheduled. If a change is necessary, Artefacts in Action will give the school as much notice as possible to make new arrangements to suit the school.

Occasionally, last-minute occurrences such as staff illness or emergencies can happen. Artefacts in Action will make every effort to let the school know as soon as possible that there is an issue, and reschedule as necessary.

If the session is cancelled as a result of actions by the company, any monies paid will be refunded.

 

By the school

If the visit is cancelled more than a month before the scheduled date, no cancellation fee will be incurred.

If the visit is cancelled less than one month before the scheduled date, a cancellation fee may be charged. The fee is a percentage of the base fee quoted to the school. The schedule of fees is as follows:

  • 15-30 days before the booked date = 10% of the total booking fee

  • 7-14 days before the booked date = 50% of the total booking fee

  • Up to 7 days before the booked date = 100% of the total booking fee

If the cancellation is made after Chloe has travelled to the school, travel expenses will also be charged.

 

Other

If the day cannot proceed as planned due to outside forces (e.g. snow day, pandemic, terrorist attack) then Artefacts in Action will work with the school to reschedule as necessary and if possible. If the workshop still cannot proceed, the company will cancel the day without fee. If Artefacts in Action arrives at the school and discovers that this has happened (e.g. a snow day has closed the school but the company was not informed), a travel fee may be charged.

If a school learns it will be impacted by a teachers’ strike, it is the school’s responsibility to contact Artefacts in Action as early as possible to determine whether a scheduled visit will be impacted. If given enough notice, Artefacts in Action will work with the school to rearrange the workshop as necessary. Last-minute cancellations due to teachers’ strikes will be charged according to the above schedule of fees for cancellations. The requirements for adequate numbers of adult helpers will remain unchanged during any teachers’ strikes. Likewise, Artefacts in Action is unable to accept large numbers of additional children without prior arrangement.

In addition, it is possible that the booking will have to be cancelled on the day if an unsafe space (i.e. one that is not deemed suitable for the number of children) is provided to work in, or if there are insufficient adult helpers. These rare occurrences will be cancelled at a rate of 100% of the total booking fee, plus travel expenses.
